Japan Manga & Culture Summer Program

Japan Manga & Culture Summer Program is committed to protecting the privacy of students and their parents or legal guardians. This Privacy Policy explains what information is collected through the registration process, how that information is used, and how it is protected.
This Program is organized by Red Fire Capital (35 Van Gogh Way, Coto de Caza, CA 92679) in partnership with a Japan-based program partner and Osaka Sogo College of Design. All information collected is used solely for the safe and effective administration of the Program.
In order to safely coordinate student participation, we collect only information that is necessary for enrollment, supervision, travel coordination, and emergency preparedness.
For students, this may include full legal name, age, date of birth, nationality (if required for travel coordination), emergency contact information, and any relevant medical or dietary information voluntarily provided by parents for safety purposes.
For parents or legal guardians, we collect full name, email address, phone number, and any additional contact information required to communicate program updates or emergency information.
If applicable, travel-related details such as passport information may be collected solely for the purpose of coordinating international travel arrangements.
Payment information is processed through secure third-party payment providers. We do not store full credit card numbers or sensitive financial credentials. We retain confirmation of payment and transaction records for accounting and documentation purposes only.
We do not collect unnecessary personal data, and we do not use tracking technologies for advertising or profiling purposes.
All collected information is used exclusively for legitimate program operations. This includes reviewing applications, confirming enrollment, coordinating housing and activities in Osaka, communicating schedule updates, organizing supervision, and ensuring student safety.
Medical or dietary information is used strictly for the protection and well-being of the participant. Such information is shared only with authorized adult supervisors or relevant service providers when necessary.
We do not use personal information for marketing unrelated services. We do not sell, rent, trade, or distribute personal data to third parties for commercial purposes.
Limited information may be shared with the Osaka-based partner organization, housing providers, travel coordinators, or insurance providers when necessary to carry out program logistics. Any information shared is restricted to what is required for safe program administration.
Information may also be disclosed if required by law or in the event of a medical or safety emergency.
All reasonable efforts are made to limit the scope of shared data and ensure it is used only for operational purposes.
Photos and videos of a student are used for promotional or educational purposes only if the parent or guardian selected YES on the registration form. Passport copies uploaded through the registration form are used only for travel coordination and are shared only with partners who need them for travel or accommodation.
We take reasonable steps to safeguard personal information against unauthorized access, misuse, or disclosure. Access to participant information is limited to authorized adults involved in organizing and supervising the program.
Digital records are stored using secure systems with restricted access. Physical documents, if any, are kept in secure locations.
While no system can guarantee absolute security, we implement practical measures appropriate to the size and nature of the program.
Participant information is retained only for as long as necessary to administer the program, comply with financial recordkeeping requirements, and resolve any post-program matters. After that period, records may be securely deleted or destroyed.
Because the program takes place in Osaka, Japan, certain necessary participant information may be shared with the established local art program and related service providers. Such sharing is limited strictly to logistical and safety requirements.
Parents or legal guardians may request access to the information provided, request corrections to inaccurate information, or request deletion of data where legally appropriate. Requests may be submitted via email to the contact address below.
This Privacy Policy may be updated if operational or legal requirements change. The most current version will always be posted on the program website.
